THE POLICY
Any changes to the internal appearance of the church or the chapel buildings and/or grounds must be pre-approved by the Rector and the Director of the Altar Guild for each respective building. Before any changes are made, the Altar Guild Director must obtain the approval of the Rector. If the Rector approves the proposed change, the Altar Guild Director then consults with his/her respective Interior Appearance Oversight Committee.
The Interior Appearance Oversight Committee for each respective building will be composed of the Altar Guild Director as chairperson and at least four other members of the congregation appointed by the chairperson. No committee member may serve more than four years. Committee vacancies will be filled by appointment by the chairperson of the Interior Appearance Oversight Committee.
Decisions made by each Interior Appearance Oversight Committee will be made by the consensus of all its members. "Consensus" does not mean that the decision under question is everyone's first preference and that there is a total absence of disagreement. "Consensus" means that if anyone on the committee feels passionately that he or she cannot accept and live with the decision under question, the decision will be postponed to allow for further prayer, discussion, dialogue and mutual problem-solving.
Any structural or permanent changes (e.g., removing a wall or kitchen appliance) to the interior of the building and/or any permanent visual changes (e.g., painting or changing the carpeting) must be pre-approved first, by the Rector; second, by the Director of Altar Guild and his/her respective Interior Appearance Oversight Committee; third, by the Director/Superintendent of Buildings and Grounds; fourth, when appropriate, by the Episcopal Diocese of Utah; and finally, by the Vestry. The level of authorization and approval required will be determined by the rector.

The meeting was called to discuss the coverings for darkening the windows in the sanctuary for a film presentation in April.
A lengthy discussion was held and the various ways and approximate costs are presented below:
1.Wasatch Windows – covering seven windows with shades that are identical to those presently on windows in the sanctuary: $598.00; covering the round window: $298.00. The work could be completed in two weeks.
2.A projector/screen company was contacted by Nancy Conrow. They will provide the appropriate projector and screen for $150.00. They will also provide black theatrical screening for the windows. This company will send a representative to the church if Nancy makes an appointment.
3.Covered fiberboard or foam board with batting and fabric: cost $50.00 to $100.00. Would need to be cut to fit each window by an assembly committee. (Tricia Baily brought a sample of a covered cardboard window darkener from her house.) Estimated time to complete: 4 to 5 hours depending on the number of workers.
4.Covering recycled boxes (cardboard) for larger windows and using burgundy tablecloths to cover smaller windows – cost? Assembly workers?
Further points brought up during the discussion:
Cash – a large factor
Permanent shades – would prevent sanctuary from changing shades/colors in the future.
How much would any darkening window treatments be used in the future?

Addendum: Black material is available to cover the windows possibly using plastic rings on the top of each window on which the rings would fit over small nails. Easy to put up and easy to take down. The question now is to get a group to measure and cut material, do any necessary sewing if desired, and sew on rings.

The business of the meeting was to investigate the use of newly purchased black material to darken the windows in the sanctuary. Doubling up the material will provide adequate covering for the windows.
The material will be held in place by clips which will fit over small nails.
An experiment was done during the meeting to ascertain that the procedure will work. The material will also be used to cover the circular window and would hang from a length of doweling above the window.
This process seems to be the best way of successfully accomplishing the darkening the windows at minimal expense.
Work will proceed Saturday, March 21st at 10:00 a.m. in the hospitality area to measure and cut the fabric.
In other business, Nancy Conrow again produced the samples of new signage, specifically those on the doors, the bulletin board in the hallway, and the various rooms in the Sunday School wing. The new signage was approved by the committee. Nancy will now present the new signage to Father Charles for approval.
